Thai Customs Registration for Importers and Exporters
Company Profile
Thai Customs registration is a key step for businesses that want to clear imports or exports through the Customs Department’s electronic system. The business has to register its details before it can take part in customs procedures as required.
KTC Global Logistics checks your documents up front, prepares the application forms and supporting documents, and coordinates the registration steps for importers and exporters, so your details are correct before your first shipment.
If your company has never imported or exported, send your company certificate, authorised signatory details and basic information, and our team will check which documents you need and which channel to use.
Need to register with Thai Customs before you start importing or exporting?
Send your business details and KTC will check the registration type, the documents to prepare and the steps involved before you apply.
What is Thai Customs registration?
It is the registration of the details of anyone who wants to carry out customs formalities or take part in electronic customs procedures with the Thai Customs Department.
For importers and exporters, the Customs Department calls this “registration as an importer/exporter”. A business that wants to carry out formalities or take part in electronic customs procedures must register with the Customs Department first.
Current information and conditions are available from the Thai Customs Department – importer/exporter registration.
Is customs registration the same as “Paperless” registration?
In practice, “Paperless registration” usually refers to registering so you can clear customs electronically, but the current official term is registration as a customs formality operator or participant in customs procedures.
Paperless refers to the paper-free electronic way of carrying out customs formalities. It is not a business licence or an import licence for any particular product.
So when you see terms like “customs registration”, “import-export registration” or “Paperless registration” in an import-export context, they usually refer to the same related process, but you should rely on the names and rules in the Customs Department’s current notifications.
Which registration channels are available today?
The Customs Department lists three channels: registration at a service unit, registration through the Customs Trader Portal, and Online Customs Registration.
The right channel depends on the type of registrant and the identity verification conditions. The current channels are:
- Registration at a Customs service unit — at the Registration and Privileges Section, or at customs offices and checkpoints approved to accept registrations
- Customs Trader Portal — for registrants who meet the Customs Department’s criteria, with identity verification conditions
- Online Customs Registration — using a digital certificate or ThaID identity verification, for those who meet the current conditions
The Customs Department states that for registration at a service unit, the authorised signatory must show the original ID card or passport to the officer. Online registration has digital certificate or digital ID conditions that differ by registrant type.
What does KTC’s customs registration service cover?
KTC checks and prepares your information before registration and coordinates the steps according to your business type and the channel used.
The scope can include:
- Initial check of the registrant type
- Check of whether the business is already registered, based on the information available
- List of documents to prepare
- Help preparing application forms and supporting documents
- Check that the company name and basic details match the company registration documents
- Check of the authorised signatory
- Check of signatures and company seal against company documents
- Preparation of a power of attorney where applicable
- Document check before submission
- Coordination of the registration steps through the right channel
- Notice of anything that must be corrected or added if documents are incomplete
Some steps may require the authorised signatory or registrant to verify their identity in person, such as showing an ID card or passport, using a digital certificate or verifying through a digital ID. KTC therefore cannot promise to handle every step on the customer’s behalf.
Which documents are needed for customs registration?
The documents depend on the registrant type, such as a company or an individual, and the registration channel, so check the current list before every application.
For a company, the initial information or documents may include:
- Company certificate or business registration details
- Company tax identification number
- ID card or passport of the authorised signatory, as applicable
- Company name in Thai and English
- Head office or branch details
- Company seal, if the company’s signing conditions require it
- Power of attorney, if an authorised representative is permitted to act
- Customs Department application forms and attachments for the registration type
- Digital certificate or another identity verification method, if using an online channel
The Customs Department recommends checking that the English company name registered with the Department of Business Development is correct before registering or updating details with Customs, to avoid mismatched records.
Do you have to go to the Customs Department in person?
Not always. There are both service-unit and online channels today, depending on the registrant type and the identity verification method that applies.
If you register at a service unit, the Customs Department requires the original ID card or passport of the authorised signatory to be shown to the officer.
For online channels, the registrant may need a digital certificate or digital ID according to the channel and criteria set by the Customs Department. Check first which online channels your board structure and business status allow.
Can businesses outside Bangkok register?
Yes, and they do not always need to visit the Customs Department head office in Bangkok, because approved customs offices and checkpoints accept registrations, and online channels are available for those who qualify.
Before you apply, check whether the office or checkpoint you plan to visit accepts that type of registration, or whether you can use the Customs Trader Portal or Online Customs Registration.
Once registered, can you import any type of goods?
No. Customs registration concerns your status as a customs operator. It is not a licence for any particular product.
Some goods may fall under the laws or rules of other agencies, for example:
- Food, supplements, medicines, cosmetics and health products
- Medical devices
- Industrial products that may fall under mandatory TISI standards
- Radio communication equipment or devices that may fall under NBTC rules
- Chemicals and hazardous substances
- Agricultural products, plants, animals and related products
- Goods that need an import or export permit under specific laws
Completing registration does not mean you can import or export every type of goods straight away. Check the commodity, HS code, specification and intended use before booking.
When should you register with Thai Customs?
Check and complete it before your first shipment. Do not wait until the goods reach the port, airport or border to start checking your registration status.
For imports, setting up your importer status and documents before the supplier ships gives you time to check permits, tariff classification and customs documents before the goods arrive in Thailand.
For exports, check before the cargo ready date so the export declaration data and shipment documents can be prepared in time for the carrier’s or airline’s cut-off.
How long is customs registration valid?
It should not be described as a registration that expires after a fixed number of years like a licence, because the Customs Department has rules on suspending or cancelling registration data based on status and use.
Check your registration status before shipping, especially if you have not imported or exported for a long time, or if your company name, directors, address or other key details have changed.
The Customs Department offers a registration status check and publishes notifications on suspension, reactivation of registration data and changes to registration details, so follow the latest rules before you proceed.
If your company details change, do you need to register again?
Not automatically. The Customs Department has a specific procedure for changing registration details.
If something changes, such as the company name, address, branch, directors, authorised signatories or other related details, check which items must be updated and what evidence is needed before clearing your next shipment.
How does the customs registration service work?
It starts by checking the business type and existing status, then preparing the documents and choosing the right registration channel.
- Send business details — tell us whether you are a company, an individual or another type of business
- Initial status check — check whether there is an existing registration or anything to fix first
- Document list — the documents and information to prepare for your case
- Document check — company name, authorised signatory, signatures, seal and related details
- Prepare the application — forms and power of attorney where applicable
- Register — through a channel that meets the Customs Department’s criteria
- Confirm or correct details — follow the agency’s instructions if anything must be added or corrected
- Status check — confirm the status before using it for a shipment
Processing time depends on the registrant type, the channel used, document completeness, identity verification and the Customs Department’s review, so a fixed number of days should not be promised before seeing the actual documents.
Frequently asked questions about Thai Customs registration
Is customs registration the same as Paperless?
The terms are closely related, and the industry often says “Paperless registration” for registering to use electronic customs formalities. The Customs Department’s current official name is registration as a customs formality operator or participant in customs procedures.
Our company is new and has never imported or exported. Can we register?
You can check registration if the business and its authorised signatories have the information and documents required by the Customs Department. Do it before your first shipment so customs clearance is not delayed.
Does one registration cover both import and export?
For importer and exporter registration, check the type and status recorded for your business in the Customs system. If your details have changed or your registration data has been suspended, the related steps must be completed before you can use it again.
How long is customs registration valid?
Do not think of it as a licence that expires after a fixed number of years. There are rules on status, suspension and cancellation of registration data, especially if it has not been used for the period set by the Customs Department, so check your status before shipping if you have not imported or exported for a while.
We are outside Bangkok. Do we need to travel there?
Not always. The Customs Department has service units at approved offices and checkpoints, plus online channels for those who qualify. Check which channel suits you before you apply.
Can we give KTC power of attorney to do everything for us?
Not every step. Some channels require the authorised signatory or registrant to verify their identity, show original documents, or use a digital certificate or digital ID themselves. KTC can check documents, prepare applications and coordinate the steps as the case allows.
Once registered, can we import food, cosmetics or TISI-regulated goods straight away?
No. Customs registration does not replace product licences. Check the requirements of the Thai FDA, TISI, NBTC or other agencies for your product type and HS code before importing or exporting.
Can we start if our documents are incomplete?
You can send the documents you have for KTC to check first. If any information or evidence is missing, our team will tell you what else to prepare before the relevant steps begin.
Ask KTC to check your customs registration documents
If your company is about to start importing or exporting, or you are not sure whether your existing registration is still active, send your business details to KTC Global Logistics for an initial document and process check before your shipment.
